Privacy statement

At Talentport, we are committed to protecting the privacy of our clients, team members, and partners. The way we collect, store, use, and disclose personal information is managed in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This statement explains how we handle your personal information when you engage with our services, enquire through our website, or message us on social media.

Who we are

This statement applies to Talentport Pty Ltd (ABN 22 689 804 019), 3A / 9 Hamilton Avenue, Bundall QLD 4217, and the Talentport services we offer, including WRKFRCE, BLNCD, NETWRK and AI Assist. In this statement, “we”, “us” and “our” mean Talentport.

Collection of Personal Information

We only collect personal information that is reasonably necessary for us to provide our services, operate our business, and comply with Australian law. This may include (but is not limited to):

  • Contact details (name, email, phone number, business address)
  • Business details and the details of your enquiry (your business name, the services you’re interested in, any plan you selected, and your message)
  • How you found us: the page you landed on, the website or campaign that referred you (for example, the “utm” tags in a link from an ad or email), and when you visited
  • Messages and comments you send us on Instagram or Facebook, and your public profile name and account ID on those platforms
  • Whether you’ve asked to receive updates from us, the wording you agreed to, and when
  • Employment-related information (resumes, qualifications, experience)
  • Financial and billing information necessary for invoicing
  • Business information you provide to us to enable service delivery

We collect this information directly from you wherever possible, for example when you fill in a form on our website, message us, call or email us, or meet us, but may also receive it from third parties with your consent or as authorised by law. If someone refers you to us, we will record who referred you.

You don’t have to give us your details. If you don’t, we may not be able to reply to your enquiry or provide our services.

How our website works

Our website doesn’t use advertising or tracking cookies. To understand how people use the site, we record page views: the page, the referring website, any campaign tags in the link, your country (worked out from your connection; we don’t store your IP address), your device type and a random visit ID. Your browser holds the campaign details from your visit only for that session and clears them when you close the tab. If you send an enquiry, those campaign details are sent with it and kept with your enquiry, as described in “How long we keep your information”.

Use of Personal Information

We use personal information for purposes including:

  • Delivering Talentport’s virtual staffing, bookkeeping, and business support services
  • Communicating with you regarding our services, accounts, or enquiries
  • Recording your enquiry in our customer system so we can reply, follow up, and keep track of our conversations with you
  • Understanding which of our pages, ads and campaigns bring enquiries, so we can improve them
  • Sending you occasional updates, but only if you’ve asked for them (see “Updates and unsubscribing” below)
  • Improving our business operations, systems, and client experience
  • Meeting our legal, regulatory, and contractual obligations

We will not use your information for purposes beyond those disclosed, unless you have consented or we are legally required to do so.

How we use AI tools

We use artificial intelligence (AI) tools to help our team respond to enquiries faster. When you send us an enquiry or message, an AI tool may read it to write a short summary, suggest a next step, or draft a reply. We currently use Claude, a service provided by Anthropic, PBC, a company based in the United States.

The AI only helps our team. It doesn’t make decisions about you, and it never sends anything on its own. A member of our team reads and approves every reply before it is sent, and our staff send all messages themselves. We only give the AI tool the information it needs about your enquiry.

Updates and unsubscribing

We only send marketing emails, such as news and tips from Talentport, to people who have ticked the “Send me occasional updates” box on our website or the updates box on our freebie forms. The box is never ticked for you. If you don’t tick it, we’ll only contact you about your enquiry.

Every marketing email we send identifies Talentport, includes our contact details, and has an unsubscribe link that works in one tap, with no need to sign in. Unsubscribing takes effect straight away. You can also unsubscribe by emailing us at privacy@talentport.com.au. Once you unsubscribe, we won’t send you marketing again, but we will still reply if you contact us with a question.

Disclosure of Personal Information

Talentport does not sell or trade personal information. We may disclose information to:

  • Our trusted staff, contractors, and service providers who support service delivery, including our team in Australia and our contractors in the Philippines
  • The service providers that run our systems, including:
    • Supabase, which hosts our customer database in Sydney, Australia
    • Anthropic (Claude), for the AI tools described above
    • Google Workspace, for our email
    • Cloudflare, which hosts our website
    • FormSubmit, which sends us an email copy of each website enquiry
    • Telegram, which we use for internal alerts about new enquiries
    • Meta (Instagram and Facebook), when you message us there
  • Business partners where disclosure is reasonably required for your engagement with us
  • Regulatory bodies and authorities, when required under Australian law

We choose service providers carefully, limit what they receive to what they need, and take reasonable steps to make sure they protect your information.

Overseas Transfer of Personal Information

Our customer database is hosted in Australia (Sydney). Some people and services that handle your information are overseas:

  • Philippines: contractors on our team who may read and respond to enquiries and look after client work
  • United States: Anthropic (AI tools), and some of our other service providers, which may also store or process data in other countries where they or their suppliers operate

Before we share personal information overseas, we take reasonable steps to make sure the recipient handles it in line with the Australian Privacy Principles, for example through contracts, confidentiality agreements, access controls and training for our team. We remain responsible for how your information is handled.

Data Security

We take active measures to safeguard personal information against misuse, loss, unauthorised access, modification, or disclosure. Our protections include:

  • Secure digital systems with restricted access
  • Access to enquiries limited to the team members who need it, with sign-in checks and a record of who changed what
  • Staff training in privacy and confidentiality obligations
  • Regular monitoring and review of our data protection practices

Where information is no longer required, we take reasonable steps to securely destroy or de-identify it.

How long we keep your information

If you become a client, we keep your enquiry with your client records.

If your enquiry doesn’t lead to working together, we move it to an archive after 24 months without contact from you or from our team. Archived enquiries are kept, not deleted, so we have a record if you come back to us, unless you ask us to delete them (see “Access, correction and deletion”).

Some working copies are deleted sooner: the raw copy of each website form submission after 90 days, and the working data our system prepares for the AI tool after 30 days. Your enquiry record itself follows the rules above. Our database backups are deleted on our provider’s normal schedule.

Access, correction and deletion

You may request access to the personal information we hold about you, or ask for corrections if it is inaccurate, out-of-date, incomplete, irrelevant or misleading. You can also ask us to delete your enquiry and contact details. When we do, we keep only a coded fingerprint (a “hash”) of your email address or phone number. We can’t read your address from it, but we can use it to recognise the same details if they come in again, so that we don’t add you back or send you marketing by mistake. We protect it like any other personal information. Copies in places our system can’t reach automatically, such as email inboxes and internal alerts, are deleted by hand. If we need to keep some information, for example by law or because you’re a current client, we’ll tell you what and why.

Requests can be made by contacting us at privacy@talentport.com.au. We will respond in line with the requirements of the Australian Privacy Principles, usually within 30 days. It’s free to make a request and free to have your information corrected. If we can’t give you access or make a correction, we’ll tell you why in writing and how to complain.

Complaints

If you think we’ve mishandled your personal information, please contact us first at privacy@talentport.com.au and tell us what happened. We’ll acknowledge your complaint, look into it, and give you a written response within 30 days.

If you’re not happy with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
